Accommodation costs
We have reserved rooms for all participants. Permanent staff had individual rooms, while ESRs shared a room (2 students per room). The University of Oslo have guaranteed the reservation, and the accommodation costs will first be paid by University of Oslo, and then invoiced from us to each beneficiary institution for their number of participants.
Travel costs
Travel costs are not included and we expect each participant to pay for his/her travel fees. Travel and flight tickets must be booked by the participants themselves according to their institutional practices. You will claim your travel costs according to your own institutional system.
Reimbursement of costs for associated partners
Associated partners will have their accommodation costs covered directly by UiO.
Travel costs should be reimbursed by sending your travel claim to UiO at the latest 1 month after the meeting, if not we will not be able to guarantee a refund. Please use the following travel claim form.
Payment - invoicing from UiO to beneficiary institutions
UiO will pre-pay all costs related to the conference facilities, common meeting costs, and accommodation. The University of Lyon will pre-pay common meals at restaurants, excursions, etc. which in turn will be invoiced to UiO. UiO will, when relevant, invoice beneficiary institutions for these costs. UiO will invoice each of the beneficiaries for their group of participants, distinguishing between NanoHeal eligible costs of participants and the others which the institutions will cover outside the NanoHeal budget.
According to NanoHeal Consortium Agreement UiO will from our common management budget cover costs of the associated partners at the meeting, as well as joint activities for NanoHeal participants (like excursions) during the meeting.
